Terms of Service

1. Acceptance of Terms

By accessing or using Scholarship Steward (“the Service”), you agree to be bound by these Terms of Service (“Terms”). Scholarship Steward is a service of JB United LLC, a California limited liability company (“Company,” “we,” “us,” or “our”). If you are using the Service on behalf of an organization, you represent that you have the authority to bind that organization to these Terms. If you do not agree to these Terms, do not use the Service.

2. Description of Service

Scholarship Steward is an AI-powered document collection and eligibility management platform built for renewable scholarship programs. The Service automates the collection of academic transcripts, FAFSA Submission Summaries, and financial aid award letters from current scholarship recipients — every renewal cycle. The Service consists of two interfaces: a scholarship manager portal for program staff and a student portal for scholarship recipients.

The Service uses artificial intelligence to read and extract structured data from uploaded documents, including term-by-term GPA data, enrollment status, Student Aid Index, and financial aid figures. Extracted data is stored and displayed to scholarship managers to assist with ongoing eligibility verification and renewal decisions. Scholarship Steward does not make eligibility or award decisions — that responsibility remains solely with the scholarship manager.

3. Accounts and Access

Scholarship managers create accounts through our authentication provider (Clerk) using an email address and organization name. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.

Students access the Service via invitation links sent by scholarship managers. Student accounts are created through Supabase Auth using email and password or Google OAuth. Students do not have access to scholarship manager dashboards or any other student's information.

You may not share your account credentials with others or create accounts for the purpose of circumventing these Terms.

4. Beta Program

Scholarship Steward is currently in beta. During the beta period:

  • Features may be added, changed, or removed without prior notice.
  • No service level agreement (SLA) applies. We do not guarantee uptime or uninterrupted access during beta.
  • Beta pricing is locked in for the life of your account. Pricing for new accounts after the beta period ends will be determined at that time.
  • We may contact you for feedback and to inform you of material changes to the Service.

5. Payment and Billing

The Service is billed annually at the rate in effect at the time of your subscription. Current pricing tiers are:

  • Free — $0, up to 25 active students
  • Growth — $2,400 per year, up to 150 active students
  • Standard — $4,800 per year, up to 400 active students
  • Programs with larger cohorts may contact us for custom pricing.

Student limits reflect concurrent active students in your program. Archiving students from completed renewal cycles frees up capacity toward your plan limit.

Payment is due in full at the start of each billing period. You may cancel your subscription at any time; cancellation takes effect at the end of the current billing period and no refunds are issued for unused time after 14 days from the start of a billing period. Refund requests within 14 days of initial purchase will be honored in full.

We reserve the right to change pricing for new subscriptions at any time with 30 days' prior notice. Beta pricing commitments are honored as described in Section 4.

6. Student Data

Scholarship managers who invite students to use the Service act as the data controller for student information collected through that invitation. Scholarship Steward acts as a data processor on behalf of scholarship managers.

Scholarship managers are responsible for ensuring they have appropriate authority to collect student information for scholarship administration purposes and for complying with applicable privacy laws, including FERPA where applicable.

Students upload documents voluntarily in response to scholarship manager invitations. Students may request deletion of their documents and account data at any time by contacting us at admin@jbuni.com.

7. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable laws.
  • Invite students to the Service without a legitimate scholarship administration purpose.
  • Attempt to access data belonging to other programs or students.
  • Upload documents that do not belong to the student submitting them.
  • Attempt to reverse-engineer, decompile, or extract the underlying AI models or extraction logic.
  • Use automated means to access the Service outside of supported integrations.

8. Intellectual Property

Scholarship Steward and its underlying technology, including the document extraction pipeline, dashboard, and all software, are the property of JB United LLC, operating as Scholarship Steward, and its licensors. These Terms do not grant you any ownership interest in the Service.

You retain ownership of all documents and data uploaded to the Service. By uploading documents, you grant Scholarship Steward a limited license to process those documents for the purpose of providing the Service, including sending documents to AI processing services for extraction.

9. Limitation of Liability

To the maximum extent permitted by law, Scholarship Steward shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, revenue, or goodwill, arising from your use of the Service.

Our total liability to you for any claim arising from these Terms or your use of the Service shall not exceed the amount you paid us in the 12 months preceding the claim.

AI-extracted data is provided for informational purposes to assist with eligibility verification and renewal decisions. Scholarship Steward makes no warranty as to the accuracy of extracted data and is not liable for errors in AI-extracted fields. Scholarship managers are responsible for validating extracted information before relying on it for eligibility or renewal decisions.

10. Termination

You may cancel your account at any time. We reserve the right to suspend or terminate your account if you violate these Terms, with or without prior notice.

Upon termination, your access to the scholarship manager portal ceases immediately. Student data is retained for 30 days after account termination and then permanently deleted, unless a shorter retention period is required by law or requested by the student.

11. Changes to Terms

We may update these Terms from time to time. We will notify you of material changes via email at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.

12. Governing Law

These Terms are governed by the laws of the State of California, United States, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved in the courts of Contra Costa County, California.
